Features
From the first clock-in to a billing run
What JN Tempo does at each step, who can do it, and where it stops. Screens show a sample agency's data.
Contractors
Timesheets, clock records and expenses
Contractors record their week from a phone or a desk, against the placement they're working on.
- Weekly or monthly timesheet periods, set per placement, with hours by day and project.
- Clock in and out with breaks, timed by the server. Mistakes are fixed with a correction request, not by editing history.
- Expense claims with categories, amounts and a receipt image.
- A dashboard of their own hours, returned items, clock corrections and what to do next.

Managers
Approvals with a clear record
Each contractor is assigned to a manager, who reviews their work in one queue.
- Approve a timesheet, or return it with a reason the contractor is emailed straight away.
- Approving locks the timesheet and records who approved it, when, and the rate at that moment.
- Expenses and clock corrections go to the same manager. Nobody can review their own request.
- Remind assigned contractors who haven't submitted, in one click.

Purchase orders
Know how much of each PO is left
Record your clients' purchase orders and link the placements they cover. Approved work is counted against them automatically.
- Committed is the value of approved timesheets on the linked placements, at the rate recorded when each was approved. Remaining is the authorised value minus committed.
- Warnings when usage reaches your threshold, goes over the authorised value, or the end date is near or has passed.
- Approved timesheets that don't count are listed with the reason, such as dates outside the PO.
- PO PDFs are stored privately. JN Tempo can suggest the number, value and dates from the PDF's text, and you confirm them before anything is saved.
- Every change to values, links, documents and access is kept in the PO's history.

Contractor billing
Billing prepared from approved work
JN Tempo works out what each contractor is owed and reminds you when it's due. Your organisation makes the payments; JN Tempo doesn't transfer money.
- Billing runs collect approved timesheets for a period, at the rate recorded on approval, with currencies totalled separately. Draft, submitted and rejected timesheets are never included.
- Work in a current run can't be billed twice. Adjusting a run saves a new version and keeps the old one.
- Schedules set the work period, cutoff and payment due date in your timezone, with overrides per contractor or placement.
- Admins get one reminder email per billing period, with counts and totals only.
- Payment status is whatever an admin records; nothing is checked with a bank. Optional encrypted storage of contractor bank details is built but isn't switched on yet.

Dashboards
The right figures for each role
Every dashboard is built on the server from the records the signed-in person is allowed to see.
- Admins: organisation figures, approvals, missing timesheets, purchase order balances and billing due.
- Managers: the same figures for their assigned contractors and the purchase orders shared with them.
- Contractors: their own hours, submissions, corrections and upcoming actions.
- A short summary states the key figures with their reporting period and links to the records behind them. An optional AI rewording of that summary is built but isn't switched on yet.
- Arrange, resize, hide or show widgets. Your layout follows you to other devices.

Exports and reports
Files for payroll, invoicing and accounts
Export what you need, in the format your next tool expects. Exports only ever contain what your role can see.
- Excel and PDF exports of timesheets, people, billing runs and custom reports, with a count before you download. Approved timesheets also export to CSV for payroll.
- A CSV laid out for Xero's bill import, which you upload to Xero yourself. There's no direct connection to Xero or any other accounting system.
- Custom reports from an approved list of fields, saved as private templates.
- Filters, totals and saved views across every timesheet and expense you can access.

People and access
Invitations, roles and manager access
Admins decide who can do what. People can't change their own role, organisation or assignments.
- Invite contractors, managers and additional administrators by email. Extra administrators don't cost more.
- Invited people set their own password and add their details in a few short steps.
- Managers see only their assigned contractors. For each purchase order, an admin chooses whether a manager has no access, view-only access, or can update it.
- Your organisation always keeps at least one active administrator, and key actions are written to an audit log.

Role permissions
Who can do what
Access is checked on the server for every request, using the role an admin gave each person.
